1. Select Travel Authorization from the Travel submenu group in the Transactions submenu on the Main Menu tab.
2. Log into the KFS as necessary.
3. The Travel Authorization will open with a new document ID. The TEM Doc # will be blank. Description contains text: (Description will be filled upon submit) and upon submit will be populated with traveler’s name, trip begin and destination up to 40 characters.
4. Complete the Trip Overview tab, Traveler Section:
a. If you
are an Arranger, the Trip Overview will be empty, click on to search for and return a TEM Profile.
b. If you are not an Arranger and have a TEM Profile, the Trip Overview will fill in with your TEM Profile information.
5. Complete the Trip Overview tab, Trip Information Section:
a. Select the Trip Type.
b. Enter trip begin and end dates.
c. Use the
to search for and return
the primary destination of the trip.
d. Enter the Business Purpose.
6. Complete the Estimated Per Diem tab.
a. Click on
. The tab will populate with a
row of expenses for each day.
7. Complete the Expenses tab.
a. Enter the expense date.
b. Select the Expense Type Code.
c. Enter the amount.
d. Click
e. Complete additional fields if required based on the expense type code selected.
8. Complete the Accounting Lines tab.
a. If the TEM Profile has default accounting associated with it, the fields on the Accounting Line will be prefilled. Change them if necessary.
b. The Object Code will default based on the selected Trip Type and cannot be changed.
c. The amount will fill in with the total encumbrance. Enter the amount to be charged to this account if split funding.
d. Click . If the full amount was not charged
to the first account, the balance will display in the Amount field on the add
line. Continue assigning accounts and amounts until the full encumbrance has
been allocated.
9. Click to send the Travel
Authorization into workflow.
